Streamlined package management tailored for staff responsible for handling deliveries in multifamily communities. The Package Tracking module offers a mobile-first experience that enables property teams to efficiently track, scan, notify, and confirm deliveries in real time.

From initial label scanning to final delivery confirmation, the process is designed to be fast, accurate, and intuitive. Accessible via the ManageCasa Mobile App and Web Dashboard/Portal, this solution is purpose-built to support on-the-ground operations—especially in lobbies, reception areas, and mailrooms—where speed and precision are essential.

Example Scenario

Jane Jackson, resident of Unit 101 at Gucci Condos, receives a FedEx package:

1. The front desk staff scans the package.
2. The system identifies Jane based on the unit.
3. Jane is notified by email/push notification.
4. She picks it up, signs on the mobile app of the front desk staff.
5. Staff confirms pickup and archives the packet record.
    

Desktop Interface for Admins

Where to Find:

Navigate to: Repairs and More > Package Tracking

Main Tools:

1. Kanban Board View
   
    
   • Drag-and-drop between statuses (e.g., Received, Picked Up, On Hold)
   • Ideal for high-level oversight and quick visual sorting
     
      
2. List View
   
    
   • Filter packages by status, recipient, carrier, date, or property
   • Bulk archive or change statuses
     
      
3. Detail View
    
   • View package timeline, scanned data, recipient info, and pickup signature
   • Internal notes can be added for additional context
     
      
4. Archiving
    

   • Completed packages can be archived for future reference

      

Mobile App Functionality for Admins

1. Accessing the Feature

• Open the ManageCasa App

• Go to Manage > Package Tracking

   

2. Adding Packages

• Tap + at the top-right corner
• Choose between:
  • Scan a Label (preferred)
  • Manual Entry

3. Smart Label Scanning

When scanning, the system auto-detects:

• Tracking number
• Property address
• Recipients (owner/tenant based on unit data)
• Carrier type (e.g., FedEx, UPS, USPS, Amazon)
   

After verification, tap Save to log the package instantly.

Duplicate Prevention: If a tracking number already exists, the app will alert you to avoid double-entry.

4. Resident Notification

As soon as a package is logged:

• The recipient receives an automated email notifying them of the delivery
• They can view package details from their Tenant or Owner Portal
• Notifications include: tracking number, pickup location, and timestamp
  
   

5. Confirming Pickup

Two ways to mark packages as picked up:

• Scan to Confirm: Re-scan the label, collect a signature using the mobile app, and confirm pickup
• Manual Confirmation: Select the package, collect a signature using the mobile app, confirm pickup, and optionally note who picked it up
  
   

Signatures are stored and viewable in the package detail.

Quick Actions

• Swipe left/right: Instantly change status (e.g., Move to Hold)
• Search: By resident name, unit, or tracking number

• Scan-to-Search: Use your camera to locate a specific package by label

   

Resident Access

Residents can:

• Log into their ManageCasa portal or mobile app
• See a history of their received and picked-up packages
• View real-time updates, email alerts, and tracking information
• Send follow-up messages to the property team if needed
