Surveys and eVoting are a very powerful tool that enables you as either an association or a property manager to gather information and learn about what your users (e.g. tenants, property owners, residents) feel about a certain topic and the results allow you to make better decisions.
The survey for example can help you to assess opinions about a potential remodel, a change of service providers or anything else you’d like to learn.
The Voting feature facilitates your board voting and streamlines the process to elect officers of the corporation.
Please make sure that Survey and eVoting is toggled “On” under Settings > Account Settings for you to be able to access it and start creating your poll.
Survey/Poll
To get started, go to Manage > Survey and eVoting and create a new poll.
When you create a new poll, you can choose between a Survey or an eVote.
When you choose "Survey", you have a few options, e.g. if you want to see the people who are taking the vote or see the results during the voting process, or if you want to hold those results off until the voting has been completed and closed. It also allows you to make the voting anonymous, which means that you, even you as a property manager or an association, can't really see what people voted.
eVote
When you choose eVote, it's much more rigid and there are more options to control the process. For example, you can give it a name and provide a description.
If there's any additional documents that need to be provided, say if you're electing an officer on the board, you can publish profiles of people as PDF or images. These images and attachments are available for people to see when they do the vote.
You can specify the date of the Vote and how long you keep the vote available so that people can see the results. Once the show results date has passed those results will no longer be available for your users to see.
You can require that a user re-logs in before they can create the vote to ensure that they are who they say they are. You can also require that they've gone through an identity verification process, and that includes taking a picture of an official document and a selfie to make sure that the pictures match up and that they are also who they say they are. This identity check is only required once.
You can also specify with an eVote that you need to have a quorum (percentage or fixed amount of votes).
Survey & eVote Questionnaire
This is the area where you create your questions. You can enter any number of questions that you want. You can add or delete questions as you go.
When creating a question you have the option to be able to specify your own set of requirements or set of answers.
Inviting people is easy, without having to individually select different users. For example, you can choose your association and it will invite all of the users on these properties.
You can restrict the list to invite a select group of property owners, or you can invite additional users.
If you don't add any properties or associations, it will invite all of the property owners on your account.
Once you are ready to send the vote out, just hit “Publish”, and it will be sent to all your users.
Survey & eVote Details
Once a Survey or Vote is published, you can see the details of this particular Survey or Vote, e.g. who has received it, who has voted, and if it's anonymous or not.
Unless the Survey/Vote is anonymous, you can see the answers once you click “View Answers”.
Results: In the example below, only one person has voted and you can see the different results as they go along.
You also have the ability to see the communications, the tasks, the messages, and the timelines associated with this particular vote.
Another way to create a poll is through sending a Message.
Just create a new message, add people to the message, and you can add a poll to this message.
Once you click “Poll”, you’ll have an option to select any existing poll you have created that you want to send to your members.
Please note that everyone who's a member of this particular message will get invited and get a notification that this poll is active. Users can vote directly from the message or they can see it on their dashboard.
As a survey/vote administrator, you have the ability to send a communication out to the invited users and pick a template through our templating system. This allows you to send out a mail message to all the people who are on that particular poll. It automatically prefills all the information, and then you can choose to send the results as an email or as a message. You can share a file with all of the users on the list, you can print it locally, or send out a physical letter with the information that you've provided and the results via the US Postal Service (ManageCasa “RealMail”) Delivery Method.

eVoting Insight Widget
