This article will walk you through each column in our AssociationProperty template to ensure a smooth and accurate bulk upload process. By following this guide, you will be able to correctly fill out each required and optional field, minimizing errors and ensuring all necessary property information is included.
1. Association Name (Required):
- Enter the exact name of the association as it appears in your ManageCasa account. This ensures the property is correctly linked to the appropriate association.
2. Property Name (Required):
- Enter the property’s address line. If you’ve set a custom property name, you may also enter it here.
3. Unit (Required if sub-unit):
- Enter the unit number for sub-units only. In this case:
- The Property Name column should contain the parent property.
- The Unit column should contain the specific unit number.
4. Backdate Start Date (Required):
- Enter the date from which you want to start tracking association dues.
- IMPORTANT NOTES:
- If a backdated date is entered and “Auto Create Association Fees” is checked/enabled in the association setup, the system will generate backdated association fees.
- If “Auto Create Association Fees” is not enabled, no backdated transactions will be generated. This also applies if a future date is entered.
5. GL Account 1 (Optional):
- This column is optional, but you must specify HOA Dues first, as it is the system’s default fee. If you do not want to use “HOA Dues”, still enter it and set the corresponding Amount 1 column to $0.
6. Deposit Method 1 (Optional):
- Enter the bank account where association fees will be deposited once paid.
7. Amount 1 (Required if GL Account 1 is used):
- Enter the amount of the association fee for this GL Account.
8. GL Account 2, Deposit Method 2, Amount 2
- Use these columns for additional fee types if needed. Fill out each in the same way as GL Account 1, Deposit Method 1, and Amount 1.
