Creating contacts establishes the connection between your ManageCasa account and other users in the system. Contacts allow you to create new ManageCasa users, enable messaging through our platform, and add relationships between them and your properties.
How to add a new contact
- Click Contacts in the left navigation menu
- Click the blue Add button and select which type of contact you would like to create
- Fill out the required fields and any other additional information you want to include with the contact
- Click Save at the bottom of the contact creation screen

You can also Lock an Account and Archive a Contact.
In case you have a delinquent user and you have handed outstanding balance to an external party for processing (e.g. a collections agency), you may want to (temporarily) lock the user account so that payments cannot be processed through ManageCasa.
How to Lock an Account
- Click Contacts in the left navigation menu
- Select the Contact in the list view
- Click the Actions button and select "Lock Account"
- A dialog box will open, asking you to confirm that you'd like to Lock the Account and ask you to document a reason for locking it.
The Contact now shows as "Locked". You can always Unlock an Account later by clicking "Unlock".
Once a contact moves out and is no longer associated with community/building/unit, we recommend you do not delete the record, but rather archive it. That way you still have access to historical records.
How to Archive a Contact
- Make sure there are no outstanding transactions for the contact, there is no property attached to the contact, the contact has no active lease, etc.
- Click Contacts in the left navigation menu
- Select the Contact in the list view
- Click the Actions button and select "Archive"
- A dialog box will open, asking you to confirm if you'd like to archive the person immediately or on a future date. Select a date if you'd like to archive the contact at a later date.
Archived contacts will no longer receive charges or any broader communication.
Archiving a contact does not prevent them from accessing their own profile.
They will no longer be shown in the Contact List.
Example:
Joe the Tenant was archived by Steve the Property Manager. Joe will no longer show up as an active user for Steve. Joe can log into his account and see past information. Joe can send a message to Steve. Steve cannot not send a new message to Joe, but can see old messages from Joe. Steve cannot archive Joe if there are outstanding items still attached to Joe, like a property still attached to his name.
You can unarchive a person by going to the Archived people screen, in case the situation changes.
