If you need to have tenants electronically sign a lease agreement, ManageCasa offers a solution involving Communication Templates and File Management. Here are some steps that you can follow to set your tenants up with a file that they can receive, review, and update:
1. Create a Communication Template
The first step to creating a lease form to be signed is to create a Communication Template to send out to the tenant. ManageCasa's Communication Templates gives you the flexibility to create a reusable form that contains the lease terms with custom text.
- Click on Manage in the left navigation menu and select Templates
- Select the Communication Templates tab at the top of the screen
- Add a new template and select Lease Details as the section
- Add the necessary lease agreement terms to the body, dragging over lease information from the right side of the editor. DO NOT type lease-specific details into the template. This will ensure that the template is reusable and prevent you from having to make edits each time you want to use it.
- Save the template
2. Create your lease agreements in your ManageCasa account
3. Send the lease communication template
Once you have all of your lease agreements created in your ManageCasa account and your lease template is ready, you're all set to send it out to the tenant(s)!
- Click on Manage in the left navigation menu and select Lease Agreements
- Click on the lease you would like to send the template for
- In the Actions dropdown, select Send Communication
- Select the lease template you created in Step 1 and click Send
- Complete the steps prompted on the screen to prepare your template to send:
- Select the recipients (Note: the recipients will be pre-filtered to those listed on the lease)
- Attach any files
- Select how you would like to send out the template
4. Tenant Signs and Sends Back Form
Once the tenants (recipients) receive the template, they should:
- Sign the form electronically or print it, sign it and scan the signed document. Save the file with the signature.
- Send the file back to the property manager
Once you receive the file back from the tenants, you can attach the file to the lease you created in your ManageCasa account in Step 2!
