With all the advantages of electronic communication, often times it is necessary to send information via the good old "snail mail". In some jurisdictions property managers and community associations are required to share certain information in printed form. Some residents simply prefer a letter in their mailbox.
In the United States, ManageCasa RealMail (TM) allows you to conveniently send letters to residents, vendors or other contacts. Just select "RealMail" as delivery method for mass communication and the recipients will receive it in the mail.
You just outsourced the whole ordeal of printing letters, folding them, stuffing them in envelopes, stamping, sorting and dropping them at the post office!
As of 2024, the cost for RealMail is as follows:
- First page: 95 cents
- Additional page: 20 cents
Pricing may change in the future. When you select "RealMail" for your delivery method, you will see the estimated cost for your mailing displayed. The actual cost will be charged to your account once the mailing goes out.
Pro tips:
- First set up a Communication Template for your letter
- Convert attachments to pdf format, formatted for U.S. letter. All other file types will be automatically converted to pdf and that doesn't always work. For example: a large spreadsheet may be split into many pages with page breaks that probably don't make sense for the recipient. Some files simply do not convert to pdf at all, resulting in the attachment not being printed and sent.
-
Check the true size of your attachments! Before executing the printing and mailing order in the system, you will see a cost estimate on the screen. If this number does not make sense, the formatting of your document may be off and trigger additional pages to be printed. For example
- Hidden columns or rows in a spreadsheet
- Values in some spreadsheet cells outside of what you want to print
- Font size, margins, line spacing, headers/footers,... in a text document
- ...
-
Always download an example of a letter before you hit "send" to check for errors and to preview the letter before it goes out. You are responsible for the accuracy of the content.
- Processing times do vary depending on the number of recipients, the size of the package and the delivery destination. Keep in mind that system processing alone may take hours for large mailings. Next is printing and physical processing of the printouts in the mail center prior to the letters going to USPS for delivery. So please plan in advance and allow at least a week for letters arrive at their destination.
