The Survey & eVoting features allow property managers and associations to collect survey responses and votes digitally. Owners and tenants can participate remotely, securely, and efficiently.
These features provide controls for participant eligibility and identity verification, support individual- and property-based voting, allow anonymous responses, display real-time results, enforce quorum requirements, and integrate with ManageCasa communications.
Access Survey and eVoting
- From the left-side menu, click More Features.
- Scroll to the bottom of the menu and select Survey and eVoting.
- On the Manage eVote page, you can view all previously created surveys and eVotes.
- Depending on the status of the poll, you can Publish, Edit, Delete, or Duplicate an existing survey or eVote.
The Open Voting section displays surveys and eVotes that are currently active. You can select a completed survey or eVote to view its details, including the summary, respondents, and results.
Create a Survey
1. Enter Survey Details
Select Survey as the poll type, then enter the following information:
- Poll Name – Enter the name of your survey.
- Description – Provide details or instructions for participants.
- Attachments – Add files from your computer or select files already uploaded to your ManageCasa account.
- Start Date – Select when the survey will become available.
- End Date – Select when the survey will close.
- Show Results Until – Set the date until which survey results can be viewed.
Survey Settings
You can also configure the following options:
- Show Results While Voting – Allows participants to view results while the survey is ongoing.
- Voting is Anonymous – Keeps individual responses anonymous.
- Exclude Locked Accounts – Excludes accounts that are currently locked from participating. Click Next when you are finished.
2. Add Survey Questions
The Questions page allows you to create the questions participants will answer.
- Enter your question in the Question Text field.
- Select a Question Type:
- Single Choice – Participants can select one answer.
- Multiple Choice – Participants can select multiple answers.
- Enter the available responses in the Answer Options field.
- For multiple-choice questions, you can specify the maximum number of choices a participant can select. Leave this field blank if participants should be able to select all available answers.
- Add additional answer options as needed.
- You can save your answer options as a Preset and reuse them for future surveys.
- Add additional questions as needed. Click Next when you are finished.
3. Select Respondents
The Respondents page allows you to determine who will receive the survey.
Instead of selecting each user individually, you can select Properties or an HOA/COA to automatically include the users associated with those properties or the association.
Select by Association : Select Associations to include all users associated with the selected HOA/COA.
Select by Property : Select Properties and choose the properties whose users should participate in the survey.
Filter by Role
You can further refine your respondent list by selecting a Role.
- If you have already selected properties or an HOA/COA, the role filter will narrow the list to contacts with that role.
- If you have not selected a property or HOA/COA, the role filter will select contacts with that role from your contact list.
Add Individual Respondents
If your selections do not include everyone you want to invite, you can use the respondent pick list to add individual users.
You can also manage respondents after saving the survey from the Respondents tab on the survey detail page. Click Next once your respondents are selected.
4. Publish the Survey
The survey will not be available to participants until it has been published.
- Review the survey details and respondents.
- Select the Publish Vote option.
- Click Save.
Your survey is now published and available to the selected participants.
Create an eVote
1. Select Voting Method
From the New Poll screen, select eVote. Choose the appropriate Calculation Method:
Individual-Based Voting : Each user receives one vote, regardless of how many properties they own or rent.
Property-Based Voting: Each property receives a vote, with the value of the vote based on the property's specified vote weight.
After selecting the calculation method, click Next to continue.
2. Enter eVote Details
Enter the following information:
- Poll Name – Enter the name of your eVote.
- Description – Provide details or instructions for participants.
- Attachments – Add files from your computer or select files already uploaded to your ManageCasa account.
- Start Date – Select when voting will begin.
- End Date – Select when voting will close.
- Show Results Until – Set the date until which voting results can be viewed.
Voting Settings
You can configure the following options:
- Show Results While Voting – Allows participants to view results while voting is ongoing.
- Voting is Anonymous – Keeps individual votes anonymous.
- Exclude Locked Accounts – Prevents locked accounts from participating.
Additional Security
eVoting also provides additional security controls:
- Require Re-login – Requires participants to log in again before completing the voting process.
- Require Identity Check – Requires participants to provide additional information to verify their identity before completing the vote.
- Quorum Required – Requires a minimum number or percentage of eligible voters to participate before the vote can officially proceed.
Quorum can be calculated using either a percentage of voters or a fixed number. Click Next when all settings are configured.
3. Add eVote Questions
The Questions page allows you to create the questions or items participants will vote on.
- Enter the question in the Question Text field.
- Select a Question Type:
- Single Choice – Participants can select one answer.
- Multiple Choice – Participants can select multiple answers.
- Enter the available responses in the Answer Options field.
- For multiple-choice questions, specify the maximum number of choices if needed.
- Save answer options as a Preset if you want to reuse them in future polls.
- Add additional questions as needed. Click Next when you are finished.
4. Select Respondents
The Respondents page allows you to select who will participate in the eVote.
You can invite participants by:
- Association – Includes users associated with the selected HOA/COA.
- Property – Includes users associated with selected properties.
- Role – Filters participants based on their contact role.
- Individual Users – Allows you to manually add specific users.
You can further refine the respondent list using the available filters.
Before publishing, ManageCasa will display the users who will receive the eVote. You can review and manage the list individually from the detail page under the Respondents tab. Click Next once the participant list is finalized.
5. Publish the eVote
An eVote will not be available to participants until it has been published.
- Review the eVote details and respondent list.
- Select Publish Vote.
- Click Save.
The eVote will then be available to the selected participants.
View Results
Once a survey or eVote has been completed, open the item from the Manage eVote page to view its details. Depending on the poll type and settings, you can review:
- Summary
- Respondents
- Results
This allows you to easily track participation and review the outcome of your survey or vote.
