How to Create an Architecture Review Using Minii AI

The Architecture Review feature helps associations manage and track property modification requests submitted by homeowners or residents. Whether the request involves exterior improvements, renovations, landscaping, or other structural changes, Architecture Reviews help ensure submissions follow a consistent review process and comply with community guidelines.

With Minii AI, you can create and manage Architecture Review requests through a simple conversation. Instead of navigating through multiple menus, select Submit an architecture review, provide the required details, and let Minii AI guide you through the process or submit the request on your behalf.

Before You Start

Before submitting an Architecture Review, make sure you have:

• Access to your ManageCasa account.
• The appropriate user role and permissions to access and submit Architecture Reviews. 
• The property address and unit number, if applicable.
• Details about the proposed modification or project.
• Photos, plans, documents, or other supporting files, if available.

Steps

1. From the top-right corner of your ManageCasa account, hover over and click Chat with Minii AI.
2. Select Submit an architecture review from the available options.
3. Enter the necessary details, including the property address, unit number, and a description of the proposed modification.
4. Minii AI may ask for additional information based on your request. Provide the requested details to help ensure the Architecture Review is submitted accurately and efficiently.
5. To include supporting documentation, click Attach Files at the bottom of the chat box and upload any relevant photos or files. These attachments will be linked to the Architecture Review.
6. Review the information provided and confirm the request to submit the Architecture Review.

Bulk Create Architecture Reviews 

Minii AI can also create multiple Architecture Review requests in one batch, making it easier to submit several applications at once.

Simply provide the Architecture Review requests as a numbered or bulleted list, including all the necessary information for each request. Minii AI will use the details provided to create them in one batch.

Example:

Create the following Architecture Review requests:

1. "[Property Address] – Install a 6-foot privacy fence along the backyard. Use a white vinyl fence."
2. "[Property Address]  – Replace the front door with a black fiberglass door of the same size and style."
3. "[Property Address]  – Install a new patio in the backyard using concrete pavers. The patio will be approximately 12 × 15 feet."

Minii AI will process each item and create the corresponding Architecture Review requests based on the information provided.

Tip: For the best results, include the property/address, type of modification, and relevant project details for each Architecture Review request.

Managing Existing Architecture Reviews

You can also use Minii AI to check and update existing Architecture Reviews. This includes viewing the current status and making updates such as adding notes, archiving or deleting tickets when needed.

For example, you can ask:

• "Change the status of ticket [ticket number] to [new status]."
• "Assign ticket [ticket number] to [service provider]."

Minii AI will identify the relevant Architecture Review and apply the requested updates.

Important Notes

• Provide complete and accurate information to help ensure the Architecture Review is submitted correctly.
• Include relevant photos, plans, or supporting documents whenever they are required for the review.
• When updating an existing Architecture Review, include the ticket number and clearly specify the changes you want to make.
• Minii AI may ask follow-up questions when additional information is needed to complete your request.
• Approval of an Architecture Review is subject to your association's applicable rules, guidelines, and review process.

• Minii AI actions may use AI credits. Check your subscription to review your available AI credits, usage, and limits. 

   

Troubleshooting

Minii AI asks for additional information.
Provide the requested details. Additional information may be needed to identify the correct property or to properly document the proposed modification.

I can't attach a photo or file.
Use the Attach Files option at the bottom of the Minii AI chat. Make sure the file is supported and try uploading it again.

Minii AI cannot find my Architecture Review.
Make sure you provide the correct ticket number and verify that the Architecture Review exists in your account.
